Keeping the Peace, LLC Rules

Keeping the Peace, LLC is committed to providing professional supervision services for parents and family members who require assistance with supervised visitations. Our mission is to create a safe, structured, and supportive environment that promotes healthy, positive interactions—giving families the peace of mind, they deserve.

All visitation supervisors employed by Keeping the Peace, LLC are trained law enforcement professionals. While serving in their supervision roles, they operate in a neutral, civilian capacity to ensure a non-intrusive and balanced presence during each visitation.

Instructions

  • Please read each section carefully.
  • Sign the acknowledgment page to confirm understanding and agreement to the policies.
  • No visitation may be scheduled until both parties have submitted intake forms.

INTAKE POLICY

Conference Calls & Background

  • Each party will participate in a separate call to gather background information and establish a visitation schedule.
  • Once both intake forms are received, allow 48 hours for processing.
  • Parents are encouraged to forward the intake form link to the opposing party.
  • No visitation can be scheduled until both intake forms are submitted.

PROTECTIVE ORDERS

  • If a Protective Order (PO) is in place, it must be modified to specifically permit Keeping the Peace, LLC to be present at exchanges and to lift any restrictions on proximity.

SCHEDULING & PAYMENT

  • The non-custodial parent is responsible for scheduling all visitations through the online scheduling system. The non-custodial parent must arrange all visitations with the custodial parent.
  • All visitations must be scheduled and paid for at least 7 days in advance.
  • First visitation exception: Once both intake forms are completed, the first visitation may be scheduled as soon as possible.
  • Payments are processed through keepingthepeacellc.com. Refunds are subject to a 3.9% transaction fee.
  • Failure to make timely payment will result in the removal of the visitation from the visitation schedule.
  • All visitation must be paid for at the time of scheduling visitation.

FEES & HOURS OF OPERATION

In-Person Visitation

  • Hours: Mon–Sun, 7:00 AM – 9:00 PM
  • Rate: $137.50/hour (up to 3 children) Minimum: 2 hours
  • Mileage: A $2.00 per mile for a fuel fee will be assessed for any travel to a visitation site, property division, court hearings/trials, or otherwise that is greater than 15 miles in distance from 2490 W. White Ave, McKinney Texas.
  • Additional Costs: Non-custodial parents pay for entrance, ticket, or parking fees for supervisors

Holiday Rates (if supervisor available)

  • $187.50/hour. — all listed holidays except Thanksgiving & Christmas Day
  • $212.50/hour. — Thanksgiving & Christmas Day
  • Closed Holidays: New Year’s Eve, New Year’s Day, Martin Luther King Birthday, Good Friday, Easter, Memorial Day, Independence Day, Labor Day, Thanksgiving, Christmas Eve, Christmas Day

Zoom Visitation

  • Hours: Mon–Fri: 6:00–8:00 PM; Sat–Sun: 9:00–10:30 AM
  • $87.50/ 30 mins (billed in 30-min sessions; max 30 min)
  • Recording: Supervisor will record the Zoom; parents may not record
  • Holiday Rates: $137.50/half-hour (except Thanksgiving & Christmas Day $175/half-hour)

Property Division

  • Hours: Mon–Sun, 7:00 AM – 9:00 PM
  • Rate: $167.50/hour Minimum: 2 hours
  • Closed Holidays: Same as above

Court Testimony & Records

  • Supervisor Testimony/Deposition: $287.50 per hour 2 hour minimum. Supervisor will attend when appropriately subpoenaed.
  • Business Records Affidavit: Email form to rick@keepingthepeacellc.com

Flat Fees Testimony

  • 2-hour minimum $287.50/hour., unused fees will be refunded
  • 2 hours  – $575.00
  • 4 hours  – $1,150.00
  • 12 hours TBC/Jury – $3,450.00

VISITATION PROCEDURES

Notification

  • Keeping the Peace, LLC does not provide notification to the custodial parent. Non-custodial parent must arrange with the custodial parent for all visitations
  • After visitation is scheduled and receiving payment, Keeping the Peace, LLC will send an email with the date, time, and location to both parties. Do not rely on Keeping the Peace, LLC to give notification.
  • It is the non-custodial parent’s responsibility to arrange with the custodial parent of the visitation details.
  • 48 hours before visitation, an updated invite will include supervisor’s name and phone number.
  • Do not rely on Keeping the Peace, LLC to give notification of visitations time, date and location.  It is the non-custodial parent to arrange and notify all visitations.

Locations of Visitations

  • Visitations may take place in a parent’s home, at the Keeping the Peace, LLC facility, or at approved public venues such as:
  • Restaurants
  • Shopping malls
  • Hotels
  • Libraries
  • VRBO/Airbnb properties
  • Parks are permitted as a visitation location, but they must have restroom access.
  • If scheduling an outdoor location, a backup indoor location is required.
  • The supervisor has final authority to determine the visitation location.

Restrictions:

  • Urban Air — The non-custodial parents may not be out of sight/sound (tunnels, trampolines, ball pits prohibited)
  • No laser tag
  • No escape rooms
  • No bummer cars/go karting
  • Swimming pools and water parks permitted only with specific restrictions (see Swimming Policy)

Unresolved Location Disputes

  • Only locations explicitly approved by: Mutual Agreement, Rule 11 Agreement, MSA, or Court Order.
  • If the parties cannot agree on a location, the default location will be the  Keeping the Peace, LLC office at 2490 W White Ave, McKinney, TX 75071.

WHO CAN ATTEND VISITATIONS

  • Only individuals explicitly approved by: Mutual Agreement, Rule 11 Agreement, MSA (Mediated Settlement Agreement), or Court Order may attend visitations.
  • Unapproved attendees will be asked to leave, and the visitation may be terminated.
  • Requests for additional attendees must be:
  • Submitted by email at least 7 days in advance.
  • Approved by both parties.
  • Please submit all approved attendee lists by email to Keeping the Peace, LLC.

SWIMMING POOLS AND HOT TUBS

  • Non-custodial parent restriction: The non-custodial parent is not allowed to be fully submerged in the pool or hot tub.
  • Limited interaction with water: They may put their feet into the water or, if the pool has a 6-inch sunbathing ledge, they can lie down on it.
  • Supervision requirement: The supervisors overseeing the visitation must always remain within sight and sound of both the non-custodial parent and the child(ren).

VISITATION EXCHANGE PROCEDURES

Drop off

  • Non-custodial parent: Arrive no later than 15 minutes before the scheduled visitation.
  • Custodial parent: Arrive 5 minutes before the visitation time.
  • If either party is more than 15 minutes late, the visitation is terminated, and fees will be assessed to the late party.
  • Non-custodial parents text the supervisor upon arrival at the agreed location.
  • The custodial parent arrives and texts the supervisor upon arrival.
  • If the location opens at the visitation start time (e.g., most businesses open at 10:00 AM), the non-custodial parent must be waiting at the entrance for opening.
  • The supervisor will meet the custodial parent at their vehicle and escort the child(ren) to the non-custodial parent.
  • Do not tell the child(ren) we are police officers, please tell them we are friend of the family assisting with visitations.
  • The custodial parent may not go into the location of the visitation:  shopping mall, restaurant, park.

Pick Up

  • The custodial parent texts the supervisor upon return.
  • The supervisor will bring the child(ren) to the custodial parent.
  • Non-custodial parents must remain in the location until the supervisor releases them after the custodial leaves the area.
    Separation of Parents
  • No direct contact between parents at any time.
  • Non-custodial parents must not stand in front of doors or windows during drop-off or pick-up.

Bag Rule

  • One bag allowed for child(ren)’s items to ensure the supervisor can maintain focus on safety.

Travel & Vehicle Restrictions

  • Visitations may not move from one location to another by vehicle.
  • Walking between locations is allowed if reasonable.
  • Child(ren) will not be placed in a vehicle except in an emergency.
  • The child(ren) will not go to the non-custodial parents’ vehicle.

Punctuality

  • Non-custodial parent: Arrive 15 minutes before the scheduled start.
  • Custodial parent: Arrive 5 minutes before the scheduled start.
  • If either party is 15+ minutes late, the visitation may be terminated, and fees will apply.

Smoking/Vaping

  • No smoking or vaping by the parents or guests during visitation.

CANCELLATIONS & MISSED VISITATION

Cancellation Fees

  • Less than 48 hours’ notice: Full fee applies.
  • Both parties fail to show: Each pays their portion of the full fee.
  • All balances for missed visitations must be paid before the next scheduled visitation.

Doctor’s Note Exception

  • No fee if a signed doctor’s note specifically states the visitation should not occur and at least 2 hours’ notice is given to Keeping the Peace, LLC.

Ending Supervised Visitation

  • Must notify Keeping the Peace, LLC by email directly. Do not rely on the court, attorneys, or the other party to do this.

Missed Visitations & Service Suspension

  • Two missed visitations may result in removal of the schedule.
  • No services for 2+ months may require repeating the intake process and paying additional fees.

INTERACTION DURING VISITATIONS

Cell Phones

  • The non-custodial parent may use a electronic device only for time management or for approved photographs/videos.
  • Child(ren) may use their electronic device.

Conduct

  • Parents/guardians are responsible for their child(ren) behavior.
  • No physical punishment, threats, profanity, or negative comments about the other parent.
  • Parents must assist in cleaning up after the visitation.
  • Parents are expected to appropriately parent their child(ren) during the visitation.
  • No discussions about future living arrangements.
  • Parents may not ask questions of the custodial parent.
  • Child(ren) are not required to interact with the parents if they do not wish to.

Observation

  • The supervisor will always remain within sight and sound.
  • Whispering to the child(ren) is not allowed.
  • Supervisors will take notes during the visitation.
  • In cases with multiple child(ren), the supervisor will remain with the non-custodial parent.

Bathroom Use

  • Group Requirement: If one child(ren) needs the restroom, all child(ren) present must go together with the supervisor.
  • Purpose: Ensures constant sight and sound supervision — no child(ren) is ever left alone with either parent.
  • Supervision: The supervisor accompanies the group to the restroom entrance and maintains appropriate monitoring.
  • Privacy: child(ren) receive privacy consistent with their age, while the supervisor maintains oversight for safety.

Positive Interaction

  • Parents should engage with child(ren) in a supportive and encouraging manner.
  • Threatening language or behavior is not allowed.
  • No profanity or negative comments about the other parent.
  • No legal discussions, case details, or promises about custody or future living arrangements.
  • This includes any discussion of potential future issues that are not currently authorized by the court, such as the following:
    •  “When you get to visit me at home.”
    • “Tell Mommy/Daddy, I love them”
    • “When you get to see other family members or friends.”
    • “When this is all over…. We can go to Six Flags.”
    • “If you get to live with me…”

Language & Communication

  • All communication must be in English, unless the supervisor understands the alternate language.
  • Supervisors must be able to hear and/or see all conversations.

Exchanges & Gifts

  • Visitations are not for exchanging items, money, mail, or serving legal papers.
  • Gifts are permitted but may be inspected by the supervisor.
  • Gifts will not be secret — they will be disclosed to the custodial parent, and photos of the gifts will be taken.

Physical Contact

  • Must be safe and appropriate.
  • Supervisors will intervene if inappropriate behavior occurs.
  • Child(ren) may not be forced into physical contact.
  • Child(ren) must not expose themselves or be encouraged to do so.
  • There will be no laying under a blanket or laying on a bed together.
  • Child(ren) may not be physically examined.
  • Pets or other animals will not be allowed to the visitation, except for animals assisting the disabled. Exception – family pets for in-home visitations are allowed.

Supervisor Role

  • Supervisors are neutral observers and intervene only as necessary for safety.
  • Supervisors take very detailed notes during the visitations.
  • Do not question staff personally, offer them food, or involve them in disputes.
  • Supervisors may interact during visitations but remain impartial.
  • Supervisors do not wear uniforms; they are dressed in civilian clothing.
  • Supervisors only handle the visitations they are assigned to for the time and date. Please contact Rick Willey for any issues.

COMMUNICATION DEVICES

Please do not use any electronic communication devices during the visitation. Communication devices are strictly prohibited during visitations. Only use of cell phones is for time management and photograph/videos if allowed.


VISITATION NOTES

Google Drive Access

  • After the first visitation, you will be granted access to the case folder on Google Drive.
  • The folder will contain:
    • All supervisors’ notes from visitations
    • Intake forms from both parties
    • Any additional information received regarding the case

Processing Time

  • It takes approximately 48 hours after a visitation for the supervisor’s notes to be processed and uploaded to Google Drive.

Documentation During Visitation

  • The assigned supervisor will take notes throughout each visitation.

MANDATORY REPORTING

  • The staff are required by law to report any signs of abuse (physical, sexual, emotional) or neglect. They will also report any threats or violence during exchanges.
  • These rules aim to ensure the visitations are safe, appropriate, and focused on the well-being of the child(ren).

WEAPONS / KNIVES – ZERO TOLERANCE POLICY

For the safety of child(ren), parents, and staff, weapons of any kind are strictly prohibited at all supervised visitations. This applies to both in-person and virtual services.

At no time are weapons allowed at any visitation this includes firearms, whether loaded or unloaded; or a knife, bludgeon, club or any other weapon, device, instrument, material, or substance, whether animate or inanimate, that, in the manner it is used, or intended to be used, can produce death or serious bodily injury.

This is a zero-tolerance policy — no exceptions.

Photography and Videography Consent for Supervised Visitations

  • Consent is required for photos/videos.
  • Supervisor may stop inappropriate photos/videos.
  • Recordings are not confidential and may be disclosed to attorneys or the Court.
